Domiciliary care software for UK home care providers

Updated 11 October 2026 · 6 minute read

Domiciliary care software runs a home care service from one record: who is visiting whom and when, whether the carer arrived, what was done and given at the door, what the carer is owed and what the council is invoiced, and the evidence an inspector asks for. This page says what the software must do, how Carelo does each part, who it suits, and exactly what it costs.

1. What domiciliary care software is, and is not

Domiciliary care is care given in the person's own home by a carer who travels between visits. The software for it is built around the visit: one person, one address, a planned time, one or two carers, and a record of what happened. It is also called home care software, a care management system or a care management platform. They are the same thing.

It is not care home software. A residential or nursing home runs on beds, rooms, shifts and a building. Systems built for care homes count occupancy and handovers, not travel time and missed calls. Carelo is built for domiciliary care only, which is why it does the visit well and does not pretend to run a care home.

2. The seven jobs it must do

  1. Rota and scheduling. Build the week of visits, keep the same carers with the same people, respect travel time and availability, cover sickness, and change a visit mid-week without breaking the rest.
  2. Electronic call monitoring. Prove the carer arrived and left, at the door, at the real time. Councils require it and many pay on it.
  3. Care records at the visit. Case notes, tasks, incidents and body maps written on the carer's phone during the call, not from memory that evening.
  4. eMAR. Every dose due, given, prompted, refused or missed, against the prescription, with the office seeing a gap the same day.
  5. Timesheets and invoicing. Actual hours, travel, cancelled calls and double-ups turned into pay and invoices without a spreadsheet in between.
  6. Compliance. Training, supervision, spot checks, holidays and sickness on matrices that show what is due before an inspector asks.
  7. The people around the visit. A carer app that works with no signal and a family view that shows one person's care, with the office in control of both.

3. How Carelo does each one

JobIn Carelo
Rota and schedulingA weekly roster by carer and by service user. Drag a call to move it, swap a carer on a row, select an area and assign in one go. The newest decision always wins: a displaced call goes to an Unassigned lane for cover, never double-booked. Repeat-weekly patterns, travel shown quietly on the grid, and an optional AI build of the week.
Electronic call monitoringGPS check-in and check-out inside a geofence around the home, opening 30 minutes before the call. A live monitor board shows every call as planned, running, late or missed. The record is kept on the phone when there is no signal and sent with the original time.
Care recordsCase notes, tasks, incidents with the right questions asked at the scene, and body maps marked on a close-up. All written in the carer app during the call and visible in the office the same minute.
eMAREach medicine held on the person's record with dose, times and level of support. Doses due appear inside the call; given, prompted, refused or missed is one tap with a reason. Refusals and misses are listed for the office.
Timesheets and invoicingPlanned and actual times flow into timesheets by carer and invoices by funder. A call that ran over is paid; a check-out hours late is not. Double-handed calls count both carers.
ComplianceTraining and supervision matrices, spot-check desks, holidays on a traffic-light calendar, sickness with fit notes, and sponsor-licence hour tracking with alerts for providers who employ overseas carers.
Carer and family appsBoth included on every plan. The carer app works offline: PIN, paperwork, notes and medication queue until signal returns. The family app shows one person only, with the office choosing what is shared.

Every part writes to the same record, so a visit changed on the rota is the visit the carer sees, the visit the family sees, and the visit on the timesheet. There is no export between modules because there are no modules.

4. Who it is for

Carelo is built for small and growing domiciliary care providers first: a newly registered agency with five carers, a 20-carer company moving off spreadsheets, a 60-carer provider tired of per-client fees. The bands run to unlimited carers and branches, so a provider does not outgrow it, but the pricing, the setup and the support are designed so a small company can run it without an IT person.

It is used across England, Wales, Scotland and Northern Ireland. The regulator's framework differs by nation; the evidence a provider needs, visit by visit, does not.

5. What it costs

Pricing is public and by the number of active carers. Every band includes the whole platform, unlimited service users, unlimited office logins, both apps and free migration. Prices are per month and exclude VAT.

Active carersPer month
Up to 15£59
Up to 30£89
Up to 50£119
Up to 100£169
Unlimited£249

There is no setup fee, no per-client charge, no minimum term and the first month is free. Carelo AI is an optional add-on. The pricing page has the yearly rates and the full list of what is included.

6. Moving from spreadsheets or another system

Migration is free and done for you. Service users, carers, medications, schedules and documents are rebuilt in Carelo from your export or your spreadsheets, checked with you record by record, and your old system stays running until you choose the go-live day. The migration page explains the steps, and the comparison pages set Carelo against Nourish, Birdie, CarePlanner and Access on facts you can check.

7. Questions we are asked

What is domiciliary care software?

Software that runs a home care service from one record: the rota of visits, proof that each visit happened, the care and medication recorded at the door, timesheets and invoices built from actual times, and the compliance evidence a regulator expects. Carelo is domiciliary care software for UK providers.

Is domiciliary care software the same as care home software?

No. Care home software manages beds, rooms and shifts in one building. Domiciliary care software manages visits by travelling carers to people's own homes. Carelo is built for domiciliary care only and is not suitable for a residential or nursing home.

Is Carelo a care management system or a care planning system?

Both, in one. The rota, call monitoring, timesheets and compliance are the management side; care plans, assessments, case notes, eMAR and body maps are the care planning side. They share one record.

Can a brand-new agency use it before its first client?

Yes. Providers set Carelo up during registration so the rota, call monitoring and eMAR are in place for the first call, and so the inspector sees working systems rather than plans. The up-to-15 band is £59 a month and the first month is free.

Do councils accept Carelo's call monitoring?

Carelo records GPS check-in and check-out times at the home for every call, with the planned time beside the actual time, which is the evidence local authority home care contracts ask for. Send us your commissioner's reporting format and we will show you the report that matches it.

How long does it take to set up?

A new provider is usually running within a day. A provider moving from another system is typically live within two weeks, with the migration done and checked by us.
