What Carelo is

Carelo is care management software for UK domiciliary (home) care providers. It runs the rota, live call monitoring with GPS check-in, eMAR medication records, care notes and handovers, incident reports and body maps, timesheets, holidays and availability, a compliance suite (supervision, appraisals, spot checks, quality assurance, training matrix) and branded Word, Excel and PDF exports, on one live record shared by three apps: the office console, the carer app and the family app. An optional per-company AI assistant, Carelo AI, plans unfilled calls and drafts paperwork for a human to approve.

Carelo is built for domiciliary care agencies in England, Wales, Scotland and Northern Ireland. It is not a care-home (residential) system and it is not a generic CRM.

What every plan includes

There is one product. The plan changes the price, never the feature list.

  • Rota and scheduling — weekly schedules, repeating visits, runs and regions, double-handed calls as one visit with two seats, bulk edits, drag-and-drop, and a "newest decision wins" engine that never silently double-books: a displaced call moves to the Unassigned row in plain sight. Delivered calls lock.
  • Live monitoring and care map — GPS check-in and check-out at the door, late and missed alerts in real time, planned-versus-actual call monitoring for commissioners, and a city map of the day's visits.
  • eMAR — what is due this call at the top; given, refused or missed with the amount and the time, straight onto the medication record.
  • Care records — case notes and handovers written at the door, incident reports with guided questions, body maps, care plans, assessments and documents with review cycles.
  • The compliance Matrix — supervision, annual appraisals, care reviews, quality assurance, spot checks, welfare calls, training, availability and worked hours, each with due and overdue tracking.
  • People and payroll — timesheets in decimal hours, holidays with a team calendar, availability patterns, sickness with UK SSP guidance, progress and awards.
  • Branded exports — Word, Excel and PDF with your logo, for commissioners and the CQC.
  • Carer app and family app — free, on iPhone and Android. Each family sees one person only: the live schedule, visit notes, medication log, incidents and one audited message thread with the office.
  • Messages and reports — office-to-carer and office-to-family messaging, and a reports library across the whole operation.

Carelo AI is an optional add-on from £39 a month. It is scoped to one company's own data, proposes rather than writes, and has a spending budget the company sets. The platform is complete without it.

What Carelo costs

Prices are public, monthly, exclude VAT, and the first month is free on every plan. Yearly billing saves 20% on the first band rising to 40% on the top band. The band is measured on active carers — people who had visits that month — never on clients or office staff.

Who Carelo is for

Carelo is not aimed at residential care homes, nurseries, or healthcare settings outside home care.

Switching to Carelo

Migration is free. Carelo's team rebuilds the agency — service users, carers, medications, schedules and documents — inside Carelo from exports of the current system, verifies it side by side with the provider, and only then goes live. Security and data

Every record is held in a PostgreSQL database in AWS London (eu-west-2) and does not leave the UK in the ordinary course of running the service. Separation between companies is enforced by database row-level security, not by application code. Care documents live in private storage with links that expire within sixty seconds. The site and both apps are HTTPS only. Carer and family devices are authorised by the office and PIN-secured. The Trust & Security page names what is done and what is still in progress, and the Data Processing Agreement is published.
