Carelo for teams considering CarePlanner

Updated 10 September 2026 · Written by Carelo

CarePlanner is a long-established UK rostering platform, and many agencies that come to us have run their rota on it for years. If the rota is the heart of your operation, the question is what else you want the rota to be connected to. Written by Carelo, so read it as our side.

The rota is the start, not the whole

A rota-first agency knows what a good rota needs: runs that are driveable, continuity that is measured, availability and hours checked as you drag, an Unassigned row that never hides, and travel that comes from real journeys. Carelo does all of that — see the rota planning guide for how — and then attaches the rest of the day to the same visit: the carer's check-in, the medication given, the notes, the incident, the timesheet and the invoice. The visit on the board is the record.

The questions to ask both of us

AskCarelo's answer
Runs, travel and clashes on the board?Runs drawn as bars per carer, road-routed travel between consecutive calls by the carer's mode of transport, overrun warnings before the day, and clash checks as you drag. A newer assignment releases the older call to Unassigned in view; nothing is silently double-booked.
Overnight and double-handed calls? An overnight call runs across midnight as one appointment. A double-up is one visit with two seats, on both carers' rosters, counted as two carers' time for the client and once for each carer.
Call monitoring built in?Yes. GPS check-in and check-out from the free carer app, offline when needed, a live monitor for today, planned versus actual on every call, and the call-monitoring report for commissioners.
eMAR and care notes? On the same visit. Doses generated from the prescription, outcomes recorded at the visit, refusals and misses visible in the office the same day, notes and incidents attached to the call.
Price?Public, from £59 a month by carer band, everything included; unlimited service users and office logins. Pricing page.
Migration?Free, from a CSV or spreadsheet export of clients, carers and schedules, verified against the source before you switch. How it works.

What a rota-first team should test on a demo

  1. Move a whole morning run from one carer to another, in order, and watch what the board tells you about travel and clashes.
  2. Mark a call as double-handed and leave the second seat empty. Is it obvious, everywhere, that it is not covered?
  3. Cancel a call, choose whether the client is invoiced and the carer paid, and look at the timesheet and invoice afterwards.
  4. Ask for last month's planned-versus-actual for one client as a spreadsheet.

We will do all four on the Carelo demo.

Questions we are asked

Can we keep our rota and add Carelo's care record?

Carelo is one record: the rota and the care record are the same visit. Running the rota elsewhere and the record in Carelo would mean two rotas, which is the problem most agencies are trying to leave. Move the rota; it is the part we migrate first and verify most carefully.

How does Carelo handle a rota for hundreds of calls a day?

The operations board is built for it: the day is computed inside the database and drawn only for the rows on screen, so a board with over a thousand calls opens and scrolls normally. Ask to see it on a large demo company.

Is there help planning the rota?

Carelo AI, an optional add-on, proposes carers for empty seats using the same availability, hours, clash and travel rules, and a person approves. It never assigns on its own.
