Carelo for teams considering Access Care Planning

Updated 10 September 2026 · Written by Carelo

Access is one of the largest UK software groups and its care products are used by many providers, including large ones with many branches. For a small or mid-sized home care agency the question is usually a simpler one: how much of a suite do you need, and what does it cost to run? Written by Carelo, so read it as our side.

One product or a suite

Carelo is one product. Everything a domiciliary care agency runs on — rota, call monitoring, eMAR, notes, incidents and body maps, respite, care documents, timesheets, invoicing hours, the compliance Matrix, the carer app and the family app — is in every plan at one published price. There is one optional add-on, Carelo AI. There is nothing to bolt on later and no separate module to license when you decide you need medication records.

For an agency of ten to a few hundred carers that is usually the right shape: one login for the office, one app for carers, one bill.

The questions to ask both of us

AskCarelo's answer
Published price for my size?Yes: from £59 a month for up to 15 carers, rising by band to £249 for unlimited carers. Everything included; VAT extra.
Per-client, per-login or per-module charges?None. Unlimited service users, unlimited named office logins, both apps free, all features in every plan.
Branches?Yes. A company can run several branches with branch-locked office logins, branch scoping across rota, matrices and awards, and a whole-company view for the owner.
Built for home care specifically?Only for home care: runs and travel, double-handed and overnight calls, ECM, council-style planned-versus-actual reporting.
Implementation cost and time?No implementation fee. Migration from your export is free and verified side by side; a mid-sized agency is usually live within a couple of weeks.
Data and exit?Held in AWS London (eu-west-2), each company kept apart at the database level, exportable when you leave. Trust page.

Where a larger suite may still be the right answer

  • If you need finance, HR and payroll from the same supplier as the care record, a suite does that and Carelo does not; Carelo exports timesheets and invoicing hours for your payroll and accounts systems.
  • If you run residential services alongside home care under one contract with one supplier, ask us plainly on the demo whether Carelo fits your mix.

Questions we are asked

Is Carelo suitable for a multi-branch agency?

Yes. Branches are built in: office logins can be locked to a branch, rotas, matrices and awards can be scoped per branch, and the owner sees the whole company.

What support comes with the price?

Support is included on every plan by email, with a free live demo before you buy and free migration when you switch.

Is there a minimum contract?

Plans are monthly or yearly, and the pricing page shows the yearly saving for each band. There is no implementation fee.
